Position: Part-Time Children and Youth Ministry Director

Church: All Saints Episcopal Church

All Saints Episcopal Church, Jacksonville is actively seeking an exceptional individual to assist children and youth in our parish toward Christian formation, and to involve and assist families in this process. The Children and Youth Ministry Director designs and coordinates Christian formation programs and contributes to worship and education that models healthy relationships for children and youth. Direction is received from the Rector who reviews work and reports of operational results; however, the employee is expected to exercise considerable initiative in judgment and planning in carrying out assignments. This position is currently envisioned as part-time (30-35 hours per week), possibly moving to full-time in the future. Though many times hours are flexible and the position is generally 3-4 days per week, the Director position requires work most Sundays for at least one-half day and some weeknights as required. The Director does not need to be Episcopalian, but should be Christian.

Essential Functions/Typical Tasks

Oversee all aspects of Children’s and Youth Ministry programs for children ages infant through the 12th grade. Responsibilities include:

Programming:

  • Ministry Plan – Develop an over-arching ministry plan and calendar which is periodically reviewed and approved by the Rector. Calendar to include general lesson plans, special religious holiday activities and events, as well as summer activities.
  • Sunday Mornings – Provide an inviting, safe and loving environment for all children with volunteer workers in order to provide appropriately age divided rooms during the church service. This would include: Nursery care for children between the ages of 0 – 3; and Sunday School lessons and activities for those 4 years old – 7 th grade. Youth activities for those 8th grade and above
  • Weekday evenings – Be prepared to offer nursery and young child care utilizing volunteers for special services or church-wide gatherings that are planned well in advance.
  • Vacation Bible School – Plan and direct this event each year for all children within the All Saints family as well as an outreach to the community. Select a themed week and plan with volunteers for the creative decoration, crafts, activities and skits that will bring the Biblically -based message alive.
  • Assist the Rector and clergy with preparation for baptisms and confirmations.
  • Provide interaction and supervision of adult volunteers so they are properly equipped to execute their respective roles: including those safety policies and procedures to ensure that all volunteers have been properly apprised, trained and vetted, as is essential for the care and protection of children

Communication and Tracking:

  • Provide sign-up sheets and obtain key ways to communicate to all families participating in each of the above ministry events.
  • Follow-up with emails to the families on lessons learned that week/event, upcoming events and invitations to other All Saints activities or membership.
  • Constant recap with teachers and other volunteers to regarding their Sunday lesson/event to learn and adapt for a more effective ministry. Provide encouragement and reinforcement to all who are on the team.
  • Track attendance for each activity for safety purposes (proper ratios of supervision) as well as Church family growth.
  • Applicant will be asked to attend regularly scheduled staff meetings and report on the ministry.

Knowledge, Skills and Abilities

  • Working knowledge of Microsoft Suite and office equipment.
  • Ability to work in an office environment as well as the ability to work independently.
  • Ability to interpret the issues of children and youth to the wider parish and empower children and youth to participate in that process-particularly the youth.
  • Assure safety and security of facilities of the children/youth environment.

Special Requirements
This position requires completion of the Sexual Abuse Prevention course offered by the Episcopal Diocese of Florida. This position requires a completed satisfactory background check.

Summary
Responsible for developing, coordinating, and administering children’s programs, providing for the instructional and religious formational needs of children enrolled in preschool through grade 5 faith formation programs.

Context
Children’s faith formation includes developing relationships with children and their families in our church and private school, planning and implementing events and programs intended to lead children closer to Christ and Our Church. To help lead children toward a life of discipleship.

This position is an extension of the Rector’s ministry. The incumbent must have the willingness and ability to support the Mission of the Episcopal Church and beliefs.

Essential Duties and Major Areas of Responsibility

  1. Plan, coordinate and deliver the pre-school through grade 2 and grades 3 through 5 faith formation programs.
  2. Coordinate the recruitment, training, scheduling, support and evaluation of volunteers for the children’s faith formation program for the purpose of guiding children to grow in their knowledge of God and practice of the Episcopal faith, in age-appropriate development of their own spiritual lives.
  3. Act as primary coordinator of the one-week summer faith formation program (typically in June).
  4. In partnership with the rector and other parish volunteers, plan and coordinate monthly gatherings and seasonal events for older children (ages 8-11) such as Advent, Lent and Prepared Communion
  5. In partnership with the rector, encourage and support children in participating in worship (as acolytes, readers, leading prayers, greetings)
  6. Manage and organize special children’s events of the year, including Blessing of the Backpacks, Christmas Pageant, Easter Egg Hunt, and End-of-Year Picnic
  7. Coordinate childcare providers for Sunday mornings and special events
  8. Support parents and welcome new families to the parish
  9. Utilize approved/recommended diocesan curriculum standards and resources.
  10. Effectively and consistently communicate all relevant information to children, parents and guardians and the larger church community; foster community and involvement in church life with public school, church, school and homeschool families.
  11. Provide a safe environment for children to grow in their faith; comply with safe environment standards and ensure protocols are met for all volunteers.
  12. Continue one’s own formation in the church’s mission of evangelization, Episcopalian and children’s ministry through self-study, participation in diocesan meetings when needed.
  13. Team with rector and parish leaders to develop and promote vision of intergenerational and lifelong faith formation in the parish
  14. Communicate regularly with Rector, Vestry, and Parish Administrator.
  15. Work in close collaboration with everyone in building and fostering a continuum of formation and spiritual growth for children and youth.
  16. Fulfills other responsibilities as identified by supervisor or Rector.

General Responsibilities
Maintain a current level of knowledge and skills required to effectively serve in this position. Ensure close cooperation and communication with Rector, staff, church leaders, vestry, and parents to seek input as appropriate.

Not responsible for any immediate supervision of employees. Serves as supervisor to volunteers within the children’s program.

  • Act as the purchasing agent for supplies and office equipment for the parish
  • Coordinate and supervise the daily work of the Sexton and volunteers.
  • Oversee the coordination of daily functions of the congregation: maintain the church calendar; schedule events including space allocation and reservations for those events

  • Create, update and maintain an office policy and procedures manual (subject to review and approval of the Vestry)

Bookstore Sales and Operations Manager Duties and Responsibilities:

Customer Service and Reception:

  • Greet and assist bookstore customers and visitors to the Brown House during store hours.

Sales and Marketing:

  • Data entry of bookstore sales in QuickBooks POS system.

  • Arrange and provide opportunities for outreach through service projects/events.
  • Hold weekly meetings for the youth. These meetings should include education, discussion, recreational time, prayer, and any other appropriate activity.
  • Foster relationships between diocesan staff and other Youth Leaders throughout the diocese.
  • Work closely with not only the rector, but with all other members of the Office Staff to ensure healthy work relationships. This includes weekly attendance to Staff Meetings.
  • Ensure the safety of youth, volunteers, and any church property.
  • Oversee the Sunday School program, which includes scheduling and recruiting teachers and curriculum management. Recruiting volunteer teachers.

Knowledge, Skills and Abilities


  • Working knowledge of Microsoft Suite and office equipment.
  • Ability to work in an office environment as well as the ability to work independently.
  • Ability to interpret the issues of children and youth to the wider parish and empower children and youth to participate in that process-particularly the youth.
  • Assure safety and security of facilities of the children/youth environment.

Education and Experience


  • Knowledge of spiritual, emotional, and social developmental stages and processes for children and youth.
  • Interpersonal relationship skills.
  • Proficiency in basic hardware and software skills.
  • Leadership skills

Special Requirements

This position requires completion of the Sexual Abuse Prevention course offered by the Episcopal Diocese of Florida. Of significant importance is that the Youth Director should be another adult person in the lives of the children and youth who is talking about and living out their faith. Completion of Safeguarding God’s Children is also required.

Position: Part-Time Organist/Choir Director

Purpose: To provide vocal and/or instrumental music for parish worship services, other sacramental occasions, parish events. Reports to: Rector for programming/liturgical matters, Parish Administrator for other staff responsibilities. Annual Review: Rector in consultation with Parish Administrator

Specific Responsibilities of this Position include:

Musical Responsibilities

  • As principal musician of the church, Organist will coordinate all music provided for worship services and be responsible for music selection according to liturgy.
  • The Organist will provide organ music and direct the choir(s) at the 11:00 service Sunday mornings and shall select appropriate organ and choral music for each service.
  • The Organist will provide organ music for occasional services(Maundy Thursday, Christmas)
  • The Organist will rehearse weekly (or as otherwise specified) with the choir. The choir will follow modified practice schedules (or cease practice) during the summer months
  • The Organist will provide music for funeral and wedding services held on the Church premises if available at the time of the service at the normal fee (weddings shall be paid directly by party). If the Organist is not available, he/she shall assist in the hiring of a substitute musician.

Miscellaneous Responsibilities related to Music Program:

  • The Organist shall not engage in the unauthorized duplication of copyrighted materials by photocopying or any other means that would expose the Church or its affiliated organizations to liability for penalties under existing or future copyright laws.
  • The Organist shall obtain, on behalf of the Church, all necessary permissions and authorizations prior to any reproductions of copyrighted materials.
  • Supervise maintenance, storage and cleaning of choir robes and music equipment.
